Call for Abstract
Term of Reference

We are pleased to announce the call for abstract submission for the upcoming scientific event on South East Asia AFPA Regional Congress organized by Asian Federation of Psychiatric Association (AFPA) & Indonesian Psychiatric Association, which would take place in Yogyakarta, Indonesia. Participants are warmly invited to submit abstracts for the international competition focused on mental health research and practice. Please read the following guidelines carefully before submitting your work.

Abstract Submission Guidelines :

1. Eligibility

      Open to students, researchers, healthcare professionals, and academics involved in mental health or related disciplines.

      Abstracts must represent original work (research, case study, literature review, community-based program, or policy analysis) relevant to the field of mental health.

2. Language

      All submissions must be written and presented in English.

3. Abstract Format

      Title: Clear and concise, accurately reflecting the content. Avoid abbreviations or jargon in the title.

      Authors: List full names, institutional affiliations, and designate the presenting author.

      Content Structure (recommended):

      Background: Brief context or rationale for the work.

      Objective(s): Main aim or research question.

      Methods: Brief description of the methodology or approach.

      Results: Summary of findings (or expected findings, if ongoing).

      Conclusion: Key takeaways, implications, or recommendations.

 

      Word Limit: Maximum 250 words, excluding title and author information.

      File Format: Submit as a Word document (.doc/.docx) using Times New Roman, 12 pt font, single spacing.

4. Submission Process

      Abstracts must be submitted via:

      Please specify whether it is submitted for oral OR poster presentation

      A confirmation will be sent upon successful submission.

5. Review Process

      Abstracts will undergo a blind review by the Scientific Committee.

       Evaluation will be based on:

      Relevance to mental health

      Originality and innovation

      Scientific or practical merit

       Clarity and organization

      Accepted abstracts will be categorized for poster or oral presentation.

6. Important Dates

7. Publication and Presentation

      Presenters must register for the event and be available during the assigned presentation time.

8. Ethical Considerations

      Abstracts involving human subjects must clearly state that appropriate ethical approvals were obtained.

      Sensitive information should be anonymized to protect participants’ confidentiality.

Note:

       The full abstract text must be more than 100 words but may not exceed 250 words

       All abbreviations must be defined the first time they appear in the text. e.g: Modified Rankin Scale (mRS). Do not define abbreviations in the title

       Use generic drug names

       Tables, charts or other graphics are not allowed

Presentation Formats :

     Presenters should have full-registration to the Congress. Showcase your research to a diverse audience of academics and professionals to have benefit in gain valuable feedback and insights on your work and build network with peers and potential collaborators. This would be good opportunity to contribute to the advancement of knowledge in your field. Presentation would be provided as oral communication and poster presentation.

     In oral communication, presenters will have the opportunity to deliver a live presentation on their research findings, followed by a Q&A session. In poster presentation, posters will be displayed throughout the event, allowing presenters to engage with attendees and discuss their research in an informal setting.

Oral Presentation Requirements:

     Each oral presentation will be allotted a maximum of 7 minutes, followed by a 5-minute question and answer session.

     Content Guidelines:

       Presenters should provide a concise overview of their research, including background, objectives, methods, results, and conclusions.

       Slides should be clear, visually appealing, and limited to essential information.

       Use of bullet points, graphs, and images to enhance understanding is encouraged.

       Ensure that the presentation is well-structured and adheres to the allocated time frame.

       Practice your presentation beforehand to ensure smooth delivery within the time limit.

     Technical Specifications:

       Presenters with selected abstract must bring their presentation files in compatible formats (e.g., PowerPoint, PDF) on a USB drive. (or send to committee by email to AFPARegCongress2026@gmail.com before 27th April 2026)

       A laptop and projector will be provided for presentations.

       Please arrive early to upload your presentation and test compatibility.

Poster Presentation Requirements:

     Size and Orientation: Posters should be in portrait orientation with dimensions of size : 80 centimetres (width) x 100 centimetres (height).

     Content Guidelines:

       Posters should include the title, authors’ names, affiliations, and contact information prominently displayed at the top.

       Content should be organized logically, including sections such as introduction, methods, results, discussion, and conclusions.

       Use clear and legible fonts, with a font size that is easily readable from a distance.

       Visuals such as graphs, charts, and images should be high-quality and effectively convey key findings.

       Keep text concise and focus on highlighting key points and results.

     Presentation :

       Presenters are required to stand by their posters during designated poster sessions to discuss their research with attendees.

       Prepare a brief overview of your research to deliver to interested participants.

       Be open to questions, feedback, and discussions regarding your poster.

     Printing :

       Presenters are responsible for printing and bringing their posters to the event.

       Ensure that posters are printed well in advance to allow for any necessary revisions or adjustments.

       Equipment for poster installation (duck tape, etc.) is provided by secretariat on site.
